What KyDec AI is for
KyDec AI is the assistant inside KyDec. It answers three kinds of question: about your own figures, about how to do something in KyDec, and about an error message KyDec has shown you.
A figure is read from your own books, by the same part of KyDec that fills your dashboard and reports, so it matches what your screens show. A how-to answer is written from KyDec’s help guides and names the guide it came from.
Good to know. KyDec AI only reads. It never creates, changes or deletes anything in your business.
Open KyDec AI
- 1Click Ask AI in the top bar. A panel opens on the right.
- 2Type your question in the box and press Enter, or click one of the questions under Try asking.
- 3To work in more room, click Open as a full page at the top of the panel. The chat on screen carries on there.
Good to know. Ask AI is shown in a business on a paid plan or in its trial, to people whose role has Use the AI assistant.
Ask about your figures
Ask in your own words, for example “What are my sales this month?”, “Show my receivables ageing” or “What does a client owe us?” with the client’s name.
The answer gives the figure, where it was read from and when, and often a table or a chart. Open takes you to the screen the figure comes from.
- Name a period (“last month”, “this financial year”) or leave it out. The answer always says which period it used.
- To ask about one client, vendor or item, use its name as it is saved in KyDec.
- If a question could mean two things, such as “pending payments”, KyDec AI asks which you mean before it answers.
Ask how to do something
Ask how to do a task or where to find a screen. The answer comes as short numbered steps, with Open for the screen it is about and the name of the help guide it was written from.
Good to know. An answer about tax ends with “Confirm filing decisions with your CA.” It helps you use KyDec; it is not tax advice.
Ask a follow-up question
Inside one chat you can carry on from your last question. After asking for this month’s sales, “And last month?” gives last month’s. After a how-to, “How do I delete it?” is understood as being about the same thing.
A figure you ask about again is read again, so it is always current.
Have an error explained
- 1When KyDec shows an error message, click Ask KyDec AI on the message, where it is offered.
- 2Or open KyDec AI within a few minutes of the error and click Explain my last error above the question box.
- 3Read why KyDec refused, and follow the steps to fix it.
Good to know. If the error was a fault on KyDec’s side, KyDec AI says so, gives you the reference to quote, and offers a person. It does not guess.
When it is not sure, and talking to a person
When KyDec AI cannot find the answer it says “I’m not sure” and offers a person. It does not make an answer up.
- 1Under the answer, click send this conversation to KyDec support.
- 2Read the line that says what will be sent: your name, your email address, your business’s name and the conversation.
- 3Click Send to support. KyDec support replies to you by email.
Good to know. Phone numbers, email addresses, GSTINs, PANs and bank numbers written in the conversation are masked before it is sent.
Chats, prompts and what it remembers
The … button at the top of the panel opens a menu.
- New chat starts a fresh conversation.
- Chat history lists your earlier chats. Open one to carry on, or delete it.
- Pinned chats keeps the chats you want close at hand.
- Saved prompts keeps questions you want to ask again.
- Suggested questions lists questions you can ask with one click.
- What I remember shows three habits KyDec AI keeps to suit you: the suggested questions you ask most, what you mean by “pending payments”, and the period you usually ask for. Clear what I remember removes them.
Good to know. Your chats are yours alone. Nobody else in your business sees them.
Speak a question, or listen to an answer
- Click the microphone and say your question. It is typed into the box for you to check before you send it.
- Click the speaker under an answer to have it read aloud.
Good to know. Your browser turns your speech into text; in Chrome, Google’s speech service does this. KyDec keeps no sound.
What you are shown follows your role
KyDec AI works with your own permissions in the business you have open. It never shows another business’s data.
If your role lets you see only the records you created, a figure covers those records alone, and the answer says so. A figure your role does not allow is refused; it is never shown as zero.
Limits
- A business can ask 500 questions a month, and each person 50 a day.
- KyDec AI can make mistakes. Check an answer before you act on it.
Common questions
- Who can use KyDec AI?
- Anyone in a business on a paid plan or in its trial whose role has Use the AI assistant. A Super Admin switches it on or off for each role under Business Settings › Roles & Permissions, in the AI Assistant group.
- How do I switch KyDec AI off for a role?
- Open Business Settings › Roles & Permissions, choose the role, and switch off Use the AI assistant in the AI Assistant group. People on that role then no longer see Ask AI.
- Can KyDec AI see another business’s data?
- No. It reads only the business you have open, with your own permissions in it.
- Can KyDec AI change my records?
- No. It only reads. It cannot create, edit, send or delete anything.
- What does KyDec AI send to the AI model?
- The question you type, passages from KyDec’s help guides and, in a chat you carry on, your earlier questions. Your figures are read by KyDec itself and are not sent to the AI model. The Privacy Policy has the details.
- Why did KyDec AI say it is not sure?
- It could not find the answer in KyDec’s help guides, or the question is about something it has no figure for yet. It says so instead of guessing, and offers a person.
- Why did KyDec AI refuse to show me a figure?
- Your role does not have the permission that figure needs, or your role sees only its own records and the figure cannot be narrowed to them. Ask a Super Admin to check your role under Business Settings › Roles & Permissions.
- Where can I read KyDec’s Privacy Policy and Terms?
- On KyDec’s website: the Privacy Policy is at /privacy and the Terms of Service are at /terms. Each shows the date it was last updated. The Privacy Policy’s section on AI features says what KyDec AI does with what you ask it.
